Office Space Survey
Space Planning and Management is conducting a FY2005 Office Space Survey. The
purpose of this survey is to gather data on the number of FTE who require office space to
perform their job duties. This information will be used to help the campus plan to
hopefully meet future office facilities needs.
- Add any other individuals who may need office space in your department, such
as:
- Emeritus faculty;
- Temporary employees;
- People paid by other colleges/departments or administrative units
to whom you provide space in your unit.
Use the following methodology to estimate FTE for Emeritus professors and open
positions.
Average number of hours per week they work divided by 40 hours in a
workweek. Example: 20 hours worked divided by 40 hours in a week=50% FTE
appointment or 0.5.
- To calculate hourly student employee office space needs, add the total FTE of
students that you are paying. Indicate only the actual number of students working
at any give time in you department. The remainder of the hourly students is
assumed to be sharing the office space.
Example: 10 paid students at 50% appointments 5.00 FTE.
Example: Only 5 paid students at 50% appointments are in the departments
at one time. Therefore, 5 students * 50% appointments = 2.5 FTE
who need office space which the others can share.
- If your department pays 10% of a person’s salary, and another college/department
pays 90% of the same person’s salary, and this person is located in your space,
please add the 90% appointment to your list for the person. When adding people,
please fill in each column on the form and indicate in the "Other Info." column
which college and department originally listed the 90% appointment.
- For each person on your sheets, you will have a column indicated as "Office in
Department-Yes or No." If the individual requires office space and is housed in
your department, write in "Yes." If the person does not require office space or is
not housed in your department, write in "No."
- If you answered "Yes" to step number 4, please indicate in the columns entitled
"Building Name and Room No." the specific location of the office or offices
assigned to each individual.
- If you answered "No" to step number 4 and the individual’s office is in another
college/department, in the column entitled "Other Department Providing Space,"
indicate the college/department providing the office space.
- When you are finished completing the office space survey, please print your
name, phone number, and the date the survey was filled out in the space provided
on the form and return the completed form(s) to Scott Shader, Director, Space
Planning and Management, 180 General Services Building.
